Bank Guarantee (BG) Entry

 

Maintain the Bank Guaranteed details for a Sales Order through this option. IMMS also allows to make changes in existing Bank Guarantee details provided they have been carefully identified first.

 

A list of already existing Bank Guarantees will be displayed as follows -

Search:

Enter any text you want to search in the list below. The search is applicable to all columns of the list. Once the text is entered, press <ENTER> key. As a result, the list will be refreshed with all those records that contain the entered text fully or partially. In order to go back to the original list, remove the text from the box and press <ENTER> key again.

 

Bank Guarantees can be added, edited, and viewed provided the Role associated with the currently logged-in user through User Management has the respective rights to do so.

 

To 'Add' a Bank Guarantee, click on the button and to 'Edit', click on the icon on its corresponding record. To view details of a particular Bank Guarantee, <DoubleClick> on that record. As a result, following screen will be displayed -

Field Description of Bank Guarantee (BG) Entry

Sales Order Details

Denotes the Sales Order for which Bank Guarantee details are entered.

Year:

Denotes the Year of Sales Order.

 

While 'Adding', current financial year will be displayed by default. You can change it as per requirement

 

In case of 'Edit' and 'View' modes, Year of the selected record will be displayed automatically. You can not change it in 'Edit' mode.

 

Group:

Denotes the Group of Sales Order.

 

While 'Adding', click on the field to access a list of already defined Sales Order Receipt Groups for the entered Year though Document Control Masteroption in Administrator Tools Module. Select your desired Group from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Group Code.

 

In case of 'Edit' and 'View' modes, Group of the selected record will be displayed automatically. You can not change it in 'Edit' mode.

 

Site:

Denotes the location of the Sales Order.

 

While 'Adding', click on the field to access a list of already defined Sites for the currently logged in Company through Site Master option of Administrator Tools module. Select your desired Site from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Site Code.

 

In case of 'Edit' and 'View' modes, Site of the selected record will be displayed automatically. You can not change it in 'Edit' mode.

 

Number:

Denotes the Sales Order Number for which details have to be entered.

 

While 'Adding', click on the field to access a list of already defined Sales Order through Sales Order Receipt Entry option. Select your desired Sales Order from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Sales Order Number. Press <TAB>.

 

In case of 'Edit' and 'View' modes, Number of the selected record will be displayed automatically. You can not change it in 'Edit' mode.

 

Customer:

Automatically displays the Customer Code of the selected Sales Order Number for your reference. You can not change it.

 

Contact Person Name:

Automatically displays the Name of the Contact Person for your reference. You can change it in 'Edit' mode.

 

Contact Person Email Address:

Automatically displays the Email Address of the Contact Person for your reference. You can change it in 'Edit' mode.

 

Contact Person Mobile No:

Automatically displays the Mobile Number of the Contact Person for your reference. You can change it in 'Edit' mode.

 

Contact Person Landline No:

Automatically displays the Landline Number of the Contact Person for your reference. You can change it in 'Edit' mode.

Bank Guarantee Detail

Once the Sales Order Number is selected, a grid will be displayed as follows -

 

 

In case Bank Guarantee details have already been entered for the selected Sales Order Number, this grid will be populated with those details. Otherwise, the grid will be displayed empty.

 

While 'Adding', click on button to enter more Bank Guarantee detail for the same Sales Order Number. As a result, a new row will added in the end of the grid

 

Whereas in 'Edit' mode, new Bank Guarantee can NOT be inserted nor can it be deleted. But certain details can be changed.

 

Field Description of the grid -

BG Number:

(Type : Alphanumeric, Length : 20)

 

While 'Adding' a new BG, clic on the field. Now enter the Bank Guarantee Number. Press <TAB>.

 

In case of 'Edit' and 'View' modes, BG Number of the selected Sales Order will be displayed automatically. You can not change it in 'Edit' mode.

 

Bank Name:

(Type : Alphanumeric, Length : 40)

 

While 'Adding' a new BG, click. Now enter the name of the Bank. click again.

 

In case of 'Edit' and 'View' modes, Bank Name of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode.

 

BG Date:

While 'Adding' a new BG, click on the field. Now enter the Date of Bank Guarantee. Press <TAB>.

 

In case of 'Edit' and 'View' modes, BG Date of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode provided 'Is Amd Required?' field is selected as ticked. Otherwise it can NOT be changed.

 

BG Due Date:

While 'Adding' a new BG, click on the field. Now enter the Due Date for the Bank Guarantee. Press <TAB>.

 

In case of 'Edit' and 'View' modes, BG Due Date of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode.

 

Claim Expiry Date:

While 'Adding' a new BG, click on the field. Now enter the Expiry date to avail the claim. Press <TAB>.

 

In case of 'Edit' and 'View' modes, Claim Expiry Date of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode.

 

BG Amount:

(Type : Numeric, Length : 11.2)

 

While 'Adding' a new BG, click on the field. Now enter the Amount of Bank Guarantee. Press <TAB>.

 

In case of 'Edit' and 'View' modes, BG Amount of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode provided 'Is Amd Required?' field is selected as ticked. Otherwise it can NOT be changed.

 

BG Type:

While 'Adding' a new BG, click on the field. Click on the small arrow. Now select the Type of Bank Guarantee from the available list. Press <TAB>.

 

In case of 'Edit' and 'View' modes, BG Type of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode.

 

Name of Beneficiary:

(Type : Alphanumeric, Length : 60)

 

While 'Adding' a new BG, click on the field. Now enter the name of Beneficiary of the Bank Guarantee. Press <TAB>.

 

In case of 'Edit' and 'View' modes, Name of Beneficiary of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode.

 

Customer PO Number:

Automatically displays the Customer PO Number of the selected Sales Order Number for your reference. You can NOT change it.

 

FD Amount:

(Type : Numeric, Length : 11.2)

 

While 'Adding' a new BG, click on the field. Now enter the Amount of Fixed Deposit existing with the Bank. Press <TAB>.

 

In case of 'Edit' and 'View' modes, FD Amount of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode provided 'Is Amd Required?' field is selected as ticked. Otherwise it can NOT be changed.

 

FDR Number:

(Type : Alphanumeric, Length : 20)

 

While 'Adding' a new BG, click on the field. Now enter the Fixed Deposit Receipt Number existing with the Bank. Press <TAB>.

 

In case of 'Edit' and 'View' modes, FDR Number of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode.

 

FD Maturity Amount:

(Type : Numeric, Length : 11.2)

 

While 'Adding' a new BG, click on the field. Now enter the Amount of Fixed Deposit on maturity. Press <TAB>.

 

In case of 'Edit' and 'View' modes, FD Maturity Amount of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode.

 

FD Maturity Date:

While 'Adding' a new BG, click on the field. Now enter the Date of Maturity of the Fixed Deposit existing with the Bank. Press <TAB>.

 

In case of 'Edit' and 'View' modes, FD Maturity Date of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode provided 'Is Amd Required?' field is selected as ticked. Otherwise it can NOT be changed.

 

FD Closed Date Receive Value:

(Type : Numeric, Length : 11.2)

 

While 'Adding' a new BG, click on the field. Now enter the Amount of Fixed Deposit received on closing it. Press <TAB>.

 

In case of 'Edit' and 'View' modes, FD Closed Date Receive Value of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode.

 

BG Close Date:

While 'Adding' a new BG, click on the field. Now enter the Closing Date of Bank Guarantee. Press <TAB>.

 

In case of 'Edit' and 'View' modes, BG Close Date of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode.

 

KA Name:

(Type : Alphanumeric, Length : 120)

 

While 'Adding' a new BG, click on the field. Now enter the KA Name. Press <TAB>.

 

In case of 'Edit' and 'View' modes, KA Name of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode.

 

Remark:

While 'Adding' a new BG, click on the field. Now enter Remarks if any related to the FD. Press <TAB>.

 

In case of 'Edit' and 'View' modes, Remark of the selected Sales Order will be displayed automatically. You can change it in 'Edit' mode provided 'Is Amd Required?' field is selected as ticked. Otherwise it can NOT be changed.

 

Attachment Details

Following screen will be displayed -

 

 

Store various drawing and image files related to the selected Item through this section.

Click on to select the files or images. As a result, Windows Explorer will open to select the files from their respective paths. You can also drag the files from the Windows Explorer and drop them to this section. The File will be displayed in the list below. IMMS allows to select following type of files-

A list of Files will be displayed as follows-

 

 

While 'Adding', this list will be empty.

In case of 'Edit', and 'View' and this list will display all the attached Files for the selected Item.

 

Field Description of the list-

Action:

To view a particular File, click on icon of its record.

To delete a File , click on the icon of its record.

 

Sr. No.:

Denotes the sequential number of the File.

 

File Name:

Denotes the name of the attached File.

 

File Path:

Denotes the path of the attached File.

 

File Size:

Denotes the size of the attached File.

 

Mode:

Denotes the Mode by which the Document has to be sent.

 

Click on the box. Select 'Mail', 'Post' or 'Both' from the given list.

 

Document Type:

Denotes the Type of Document.

 

Click on the box. Select the appropriate option from the given list.

 

Document No:

Click on the box. Enter the number of the Document.

 

Document Revision No:

Click on the box. Enter the Revision Number of the Document.

 

Created By:

Denotes the name of the person who has created the Document.

 

Created Date:

Denotes the date when the Document was created.

 

Once you have entered all the information related to the Bank Guarantee, click on 'Save' button to save it or 'Cancel' to discard. The control will go back to the list.
